Create and manage workflows

Create a workflow only when you need a distinct process

Open workflows

Start from the workflow list and check what already exists before adding another pipeline. Too many near-duplicate workflows create cleanup problems later.

  1. Re-use an existing workflow if the hiring stages are already correct.
  2. Create a new workflow when a team or role truly needs its own process.

Decide whether it should be company or personal

Create workflow

Company workflows are the default choice when multiple people or openings should share the same process. Personal workflows are only useful when the process should stay private or individual.

  1. Company workflows are easier to maintain consistently across openings.
  2. Name the workflow so someone else can tell exactly when to use it.

Edit the workflow steps

Use the workflow detail page to define the stages that applicants move through. Keep the steps clear, ordered, and easy for recruiters to recognize.

  1. Keep step names action-oriented and easy to recognize.
  2. Add automation only where the team will actually use it consistently.

Use the workflow on the right openings

Open openings

After the workflow is ready, attach it to openings that should follow that process. That is what makes the workflow matter in day-to-day recruiting.

  1. Review the opening after assignment to confirm the workflow is correct.
  2. Do not leave openings on old workflows if they should now follow the new standard.
