Workflows

Manage workflows

To manage workflows:

  1. Go to Admin > Workflows.
  2. Click Edit for the workflow you want to change.
  3. Change the workflow name or visibility.
  4. Visibility Company means all users. Visibility Personal means just you.
  5. Click Save changes.

Edit Step 1: Entry into system

  1. Open the workflow you want to edit.
  2. Assign to folder: the normal folder for new applicants.
  3. If duplicate, assign to folder: where confirmed duplicates go.
  4. If possible duplicate, assign to folder: where possible duplicates go.
  5. Click Save.

Edit each recruiting step

Create company schedule

  1. Click the + button on the step you want to edit.
  2. Name: changes the step name.
  3. Schedule: select an existing schedule. If you need a new one first, use the Create company schedule guide.
  4. Self-Schedule: available only when the selected schedule supports self-scheduling.
  5. Move to folder: moves the applicant to a folder when they reach that step.
  6. Status: updates the applicant status at that step.
  7. Note type and Note: adds a note type and note text to the step.
  8. Skippable: allows the recruiter to skip that step.
  9. Email: requires both an SMTP setting and an email template.
  10. SMS: requires both an SMS setting and an SMS template.
  11. Click Save changes for that step.
  12. Each step is saved individually.

Add, remove, or reorder steps

  1. Click Add step to create a new recruiting step.
  2. Fill in the fields for the new step.
  3. Click Add step to save the new step.
  4. To remove a step, click Remove, type REMOVE, and click Remove step.
  5. Step order saves automatically after you drag the steps into place.

Archive a workflow

  1. While editing the workflow, click Archive workflow.
  2. Type ARCHIVE in the modal.
  3. Click Archive workflow.
  4. Click Cancel if you do not want to archive it.

Unarchive a workflow

  1. Open the archived workflow.
  2. Click Unarchive workflow.
  3. Type UNARCHIVE in the modal.
  4. Click Unarchive workflow.
  5. Click Cancel if you do not want to restore it.
