Search before opening records

Search applicants

Use search first when you already know the person you need. That is usually faster than paging through the inbox by hand.

  1. Search by first name, last name, email, or phone number.
  2. Use the dedicated search view when you are trying to narrow to a single person.

Sort the inbox to match the task

Open applicants

Sorting matters when you are trying to work newest applicants first, follow up on older records, or find stale items that have been sitting too long.

  1. Use the sort order that matches the work you are doing instead of leaving the table in a random state.
  2. Reset your context when you switch from new-applicant review to follow-up work.

Use folders and filters to narrow the list

Folders and other filters are useful when the inbox is too broad. Use them to reduce the list before opening individual records.

  1. Use folders for structural separation, not for ad hoc searching.
  2. Apply filters before opening records one by one.

Open the applicant only after the list is narrowed

Open applicants

Once the table is down to the right set of people, open the applicant profile and use the notes, workflow, email, SMS, and history tabs to understand what needs to happen next.

  1. Confirm you are in the correct record before changing status, folder, or workflow position.
  2. Use the inbox as the place you return to after each review.
